Taking registration fees online

If you charge a registration fee, you can let participants pay online right away (Bancontact, iDEAL, credit card, bank transfer…). After submitting the form they land on a payment page, and the registration is automatically marked as paid.

Where to find it

In your tournament, go to Registrations. The Online payment card appears as soon as you have set a registration fee, or an extra product with a price. Without an amount there is nothing to pay and the card stays hidden.

Turn on the Enable online payment switch there. If you leave it off, the registration is simply recorded, stays open, and you collect the payment yourself.

Two options

1. Your own Mollie account. If you already have a Mollie account, enter your API key. The money goes straight to your own account and we charge nothing. You will find that key in your Mollie dashboard under Developers › API keys. Then click Test connection: you will see which Mollie profile you are linked to, so you know you are not accidentally using another account's key. The key is stored encrypted and never shown in full — you only see the last four characters.

2. Through UwTornooi. No account of your own needed. Payments arrive on the Mollie account of UwTornooi. We keep € 0.50 in processing costs per successful payment, and after your tournament we transfer the balance to your account number. For that you accept the payment terms and enter your IBAN and the account holder name. You can also add that account number later — we only need it at the moment of the transfer.

Who bears the processing cost?

If you choose UwTornooi, you decide who pays that € 0.50, with the checkbox Pass the processing cost on to the participant:

  • Off — the participant pays only the registration fee and the cost comes off your transfer. With a € 10 fee they pay € 10.00 and you receive € 9.50.
  • On — the participant pays the registration fee plus the cost, and you keep the full amount. With a € 10 fee they pay € 10.50 and you receive € 10.00. The registration form then lists the processing cost separately, before they submit.

Following what comes in

At the bottom of the card you see how many payments came in, what was received, how much processing cost is deducted and what still has to be transferred. Below that you find every successful payment, with the team name and the date.

Transfers

After your tournament we prepare the transfer. You see it in that same card:

  • Being prepared — we have fixed the amount and are checking it.
  • Ready to transfer — checked, the transfer follows.
  • Transferred on … — the money has been sent.

The amount is fixed as soon as the transfer is prepared. If a payment arrives after that, it simply goes into a next transfer — nothing is lost. If your account number is missing, you get a warning in the card and an email: without an IBAN we cannot transfer.

Refunding a participant

If a team cancels, click Refund next to their payment. The full amount is pre-filled; adjust it for a partial refund. The participant is refunded via Mollie, the same way they paid.

If that payment is already part of a transfer, this is no longer possible: that money is on its way to you or already transferred, and we no longer hold it. Settle the refund directly with the participant in that case. The € 0.50 processing cost is never refunded.

Payment confirmation by email

After every successful payment the payer automatically receives a confirmation with the amount, the description and the reference. Anyone who needs an invoice reads in that email how to request one.

For a club competition too

A club competition works the same way, with two differences. The registration fee is set per series (under Series), so a recreational series can cost less than the main one. The payment card sits under Settings and applies to the whole club: one Mollie key and one bank account, however many series are running.

The second difference is the transfer. A club competition runs on and has no end date to wait for, so we transfer every month: each time what was paid in the month just closed. What comes in this month goes out with the next transfer. In the card under Settings you see every transfer, with the month it covers.

Under Registrations of your club, each registration shows whether it has been paid. That status is separate from approving: you can approve someone who has not paid yet, and the other way round.

Frequently asked questions

Do I need a Mollie account to collect registration fees?

No. If you choose Through UwTornooi, payments run through our Mollie account and you need nothing of your own. If you do have your own Mollie account, you can use it: the money then goes straight to you and we charge nothing.

What does taking payments online cost?

With your own Mollie account we charge nothing — you only pay Mollie's own rates. If it runs through the UwTornooi account, we keep € 0.50 per successful payment. You can pass that cost on to the participant or let it come off your transfer.

When do I get my money?

After your tournament. We prepare the transfer a few days after the end date — so a late payment or refund is still included — and then transfer the balance to the account number you entered in your tournament. With your own Mollie account, payout follows the arrangements between Mollie and you, outside UwTornooi.

For a club competition it works differently, because it runs on: there we transfer every month, each time what was paid in the month just closed.

Can I reverse a payment?

Yes, with the Refund button next to that payment, in full or in part — as long as the amount is not yet part of a transfer. After that you settle it directly with the participant.

Why can I not use the Online payment card?

Because there is no amount to pay yet. The card is there, but disabled, with the reason next to it. Enter a registration fee under form settings (or give an extra product a price) and you can use it. For a club competition, give at least one series a registration fee.

What happens if someone submits the form but does not pay?

The registration stays with the status open. You see it in your list and can approve or refuse it like any other registration — the payment is a separate step.
