🏆 Setting up a club competition

What is a club competition?

A club competition is an ongoing competition within your own club, separate from a tournament. The organiser opens time slots on the club's courts. A participant signs up for a slot that suits them, and an opponent joins in. The match forms by itself and the courts fill up.

This sits entirely alongside tournament management: a club competition has no tournament date, simply keeps running, and has its own standings.

1. Create your club

Click My club at the top and create a club. Then fill in the details and the web address under Settings — the latter determines your club's public page.

2. Add courts

Under Courts, add the courts you play on. A court you temporarily do not use should be set to inactive rather than deleted — that keeps the history intact.

3. Create divisions

A division is a group or category within your club, for example "Men's doubles" or "Recreational". Each division has its own standings and its own rules. Participants register per division. Choose per division whether you play in pairs or singles, and set the status to Open once play may start.

4. Set the match rules

At the bottom of a division you decide who may play whom:

  • Only within the same division — participants only see sign-ups from their own division.
  • Same opponent — once, home and away, or unlimited.
  • Maximum open sign-ups and matches — stops anyone from booking the whole calendar. 0 means unlimited.
  • Sign up until — how many hours before the slot registration closes.
  • Cancellation window — cancelling within this window counts as a walkover loss.
  • Auto-match — two participants signing up for the same slot are paired immediately.

You also choose whether the standings run by points or by Elo rating.

The same rules in several divisions

If your divisions largely follow the same rules, you do not have to retype them one by one. At the bottom of the page you will find Copy to other divisions: tick the divisions that should get the same settings — or use Select all — and click Copy. What is on your screen is first saved for the division itself, and then copied to the ticked divisions.

Copied along: the format, the status, the period, the description, the match rules and the scoring. Only the name of each division stays as it was — together with its registration settings, so an open registration is never copied across by accident.

5. Add participants

Under Participants you add who takes part, per division. If you enter an e-mail address matching a player account, the participant is automatically linked to it and that person can log in to sign up and enter results.

Or let players register themselves

Instead of adding everyone by hand, you can open registrations. You do that per division under Registrations. There you set:

  • Open from / until — outside that period nobody can register.
  • Maximum number of participants — pending registrations count too, so you do not hand out places that do not exist when approving. 0 means unlimited.
  • Ask for a phone number — with the separate question on whether opponents may see it.
  • Ask for own points — useful with Elo standings: what the player gives becomes their starting rating. Tick Make required as well and nobody can register without giving their points.
  • Approve automatically — the player is in the division right away.

Once the division is open you get a link to share. Put it on your club site or in an e-mail; no account is needed to register. Divisions that are open also appear on your public club page.

Every registration shows up in the list. Approve creates the participant with their players, takes over the phone number and permission, and applies the points given as the starting rating. You can add a message that goes out in the e-mail to the player. Both you and the player are notified at every step.

6. Open time slots

This is the heart of it. Go to Time slots and use the generator on the left: pick a period, the weekdays, the start times, the duration and which courts are open. One click sets up your whole calendar.

Important: a time slot is a moment, not a court. The number of courts you attach to it is the capacity: with two courts open, two matches can go ahead that evening. Click a slot in the calendar to add a court afterwards ("Add court"), close the slot or delete it.

To reserve a slot for one division only, pick it under For which division. Left on All divisions, anyone can sign up.

7. How it works for players

A participant with an account sees three things in their portal: the open time slots of their division, the sign-ups from others they may accept, and their own matches. They click "I can play" on a slot that suits them. Someone else from the same division sees that sign-up and accepts it — the match is then booked on a free court. Both players see the court, day and time.

8. Scheduling matches yourself

Have two players arranged something between themselves? Pair them yourself under Matches, outside the match rules. There you can also choose a court and a time without a slot.

9. Results and standings

Enter the result as set scores, for example 6-4 3-6 7-5. Players can do this themselves in their portal; if Opponent confirms the result is on, the opponent gets a confirm button. The result counts towards the standings immediately — confirmation is an after-the-fact check, not a blocker.

The standings are recalculated after every result from all played matches. If something is off after a correction, use Recalculate standings to rebuild it completely.

Frequently asked questions

What is the difference between a club competition and a tournament?

A tournament has a date and a schedule; a club competition does not. It simply runs on, has its own standings and is completely separate from tournament management. Matches arise from the time slots you open, not from a schedule built in advance.

How does a match come about?

You open time slots: day, time and the courts free then. A participant clicks I can play on a slot that suits them, and someone else from the same series accepts that offer. The match is then booked on a free court, and both players see the court, day and time. Switch on Automatic pairing and two participants who sign up for the same slot are matched immediately.

Do I have to add every participant myself?

No. You can open registrations per series and share the link on your club site or by email — no account needed. You set the period, a maximum number of participants, whether you ask for a phone number and whether registrations are approved automatically.

Do the standings run on points or on rating?

You choose that per series. With points you simply add them up; with rating (Elo) a player goes up or down after each match depending on how strong the opponent was. If you use rating, you can also ask for the player's current points at registration — those become their starting rating.

A time slot is one court, right?

No, and this is the key thing to grasp: a time slot is a moment in time. The number of courts you attach to it is the capacity. If two courts are open at that hour, two matches can go ahead that evening. You can attach a court afterwards via Add court on the slot itself.
